Basic Guidelines
Chair
Planning for your year
Use the following tips and guidelines to plan for the success of your committee.
1. Talk to the previous year’s’ committee chair to discuss successes and challenges.
2. Review the committee charge and objectives for the upcoming year.
3. Find out if there is a budget for the committee.
4. Work with ArOA staff to set up conference call, online collaboration, minutes and agenda templates for use.
5. Understand basic parliamentary procedures.
6. Attend committee orientation if available.

Running Meetings
Prior to meeting
- Set date and time for meeting.
- Set agenda and send out to committee members.
- ArOA will send agenda and information to committee members
Meetings
Flow of meeting
1. Roll Call and introduction
2. Review and approval of minutes from previous meeting if appropriate
3. Stick to agenda set in advance (All agenda items should pertain to the committee mission)
4. Selection of next meeting time if appropriate
5. Meeting wrap-up and review of action items
Tips
- Have each participant introduce themselves and take a roll call.
- Be sure that each committee member is clear about their role during the call.
- Follow parliamentary procedures.
- To reduce time, do not spend too much time on new ideas that arise on the call. Instead, encourage a core group of members to develop a committee or follow up on the email to allow brainstorming and idea sharing.
- Close meeting with a summary of discussion and next steps.
- Consider selecting a date for the next call if needed.
Board Reports
- Written committee reports to the board are due two weeks prior to board meetings. Board meetings are spring convention (April); summer (July); and fall convention (September or October).
- Report forms will be provided.
- End-of-Year reports should include suggestions and successes for the next chair.
